Garmushka

From the first bill of quantities to the keys

Garmushka is built for interior design studios and architecture practices that work with private customers, suppliers and contractors: bills of quantities and supplier quotes, fee proposals, project tracking, a customer area and the money, in one place.

Customers and projects

Every customer with their projects, every project with its address, schedule and design-fee milestones.

  • Private customers, couples included, and businesses with a VAT ID
  • The project address on a map, with directions
  • Your design fee in milestones, and a milestone can fall due when a stage is done
  • Links to cloud folders (Google Drive, Dropbox, iCloud) — one for the customer and one for suppliers

Project stages and a board

Start a project from a workflow — private house, renovation, apartment design, safe room, lobby, offices or developer apartments — and see every project on one board, by phase.

  • Stages from design and permits to construction and handover, with planned and actual dates
  • Skip, add and reorder stages; choose which ones the customer sees
  • A kanban board: drag a project to the next phase and confirm the dates
  • Late stages, days in stage and the next payment due on every card
  • “Needs attention today”: late stages, tasks to confirm, payments to review

A customer area

Your customers sign in with an emailed code and follow their project: where it stands, what is paid, what is next. Fewer calls asking “so where are we?”.

  • A timeline of the stages, with what was done and what comes next
  • Payments, change orders to approve and the cost of works
  • Tasks and visits, documents and site photos
  • Several people per project: a couple, a residents’ committee, an office manager
  • Only what you share; private customers see prices including VAT

Bills of quantities suppliers price online

Build a bill of quantities once and send it to every supplier. Each supplier prices it before VAT from their own invitation link.

  • Lines with a category, quantity and unit: unit, point, m², linear metre, hour or lump sum
  • Invitations by email or a ready-made WhatsApp message
  • A shareable link your customer can forward to their own suppliers
  • A submission deadline, and suppliers can revise their quotes until it passes

Quotes side by side

All the quotes in one table, line by line, before VAT and in one currency. See at once who is cheapest and who left lines unpriced.

  • Suppliers always quote before VAT, so quotes compare like for like
  • The lowest quote and unpriced lines highlighted
  • Share quotes with the customer, and hire the supplier you go ahead with in one click

AI help, with your approval

Drafts bill-of-quantities lines from a description or a plan, and reads a supplier’s quote from a PDF or a photo — you check and approve before anything is saved.

  • Suggested lines from your studio’s catalogue, with no prices: suppliers price them
  • A quote that arrives as a file is read and matched to your lines, and you confirm every match and every price
  • An explanation of the differences between quotes, shown only to the studio
  • A receipt or invoice fills in the payment form, and you check it before saving
  • Monthly credits by plan, and the studio can switch AI off in its settings

From the first bill of quantities to the keys

  • Supplier accounts

Every supplier gets a free account with all their quotes from every studio in one place. You get answers faster, and you see who already has an account.

    • A one-time emailed code the first time, then the supplier’s device stays signed in: no sign-up form and no password
    • Once hired, the supplier sees the job, the schedule and the tasks on site
    • The supplier confirms the payments received, so there is no argument later
    • The full site address is shown only after hiring; before that, the city
  • Hired suppliers and payments

Record the suppliers hired on each project, their payment schedule and every payment, and see the cost of works at a glance.

    • Contract amount, instalments by date or by stage, and change orders the customer approves
    • Payments by bank transfer, cheque (including post-dated), cash, card or Bit
    • Target cost of works, committed, paid, unplanned and due soon
    • Every payment shows who entered it; once the supplier confirms it, it locks
  • Fee proposals to customers

Build a design-fee proposal from a template and send it to your customer by email or WhatsApp. The customer accepts it through a link, and you see when it was opened and when it was accepted.

    • Your own proposal templates, with the design-fee payment stages
    • The customer accepts or declines on the proposal’s page
    • Once the proposal is accepted, a project is created with its payment schedule
  • Tasks, snags, documents and photos

Deliveries, measurements, installations and site visits in one schedule, and the snag list at handover, with photos.

    • A supplier proposes a time; the customer or the studio confirms it
    • A personal calendar feed for your phone’s calendar
    • Snags assigned to the responsible supplier, fixed, then confirmed by the customer
    • Contracts, invoices and site photos per project, and imports of exported WhatsApp chats
  • Site visits from your phone

During a visit, take photos, log snags, notes and tasks and update stages. At the end, review the summary and send it to your customers and suppliers.

    • Customers get only what they may see, and internal notes stay in the studio
    • Each supplier gets only its own snags and tasks
    • The summary arrives by email and notification, or as a WhatsApp message
  • A weekly update for customers

Once a week Garmushka prepares an update for each project’s customers from what happened in it: what was done this week and what is coming next week.

    • Only what customers may see
    • Before it goes out you can preview it, add a note, send it now or skip the week
    • By email, by notification and in the customer area
  • Notifications that respect Shabbat

Customers, suppliers and the studio hear about what concerns them, by email and app notifications, and each person chooses what they get.

    • A stage moved, a payment to confirm, a task tomorrow, a change order waiting
    • A daily digest instead of a flood of emails
    • Quiet at night, on Shabbat and on holidays, except sign-in codes
  • Supplier commissions

Record the commission you expect from every deal with a supplier, and see what has not been requested, what has been invoiced and what has been collected.

    • Worked out from the supplier’s commission rate, or an amount you enter
    • Ageing: up to 30 days, 30 to 90, and over 90
    • Never shown to customers, on any screen, document or link
    • Visible only to the studio’s owners and admins
  • Supplier directory and registry badges

Your studio’s suppliers and their contacts. Type a company number and the details fill themselves in from the government contractors’ registry.

    • A “registered contractor” badge, with the branch and classification, from the Registrar of Contractors’ data
    • A “licensed asbestos contractor” badge
    • Insurance and licence documents with expiry reminders
    • Suppliers recognised by company number and phone, without duplicates
  • Teamwork

Invite your team by email and give each person a role. Assign people to projects, so everyone sees and hears about their own.

    • Roles: owner, admin and member
    • A project team per project
    • An activity log of who did what, and export of all studio data for owners
  • No password, five languages

Sign in with an emailed code, or with Google. The interface speaks Hebrew, Arabic, Russian, French and English.

    • Full right-to-left support
    • Every person, supplier and customer picks their own language
    • Installs on the phone as an app, with notifications
    • Light and dark mode, and built for working from a phone
